Purpose of processing personal data

The controller processes customers’ personal data for the following purposes:

  • providing the controller’s services to customers
  • ongoing management and development of customer relationships and bookings
  • payment of bookings, payment monitoring, and debt collection
  • development of the controller’s business operations and related service development
  • monitoring and analysing potential customers’ interests, choices, and wishes related to accommodation, and related service development
  • taking customers’ wishes into account, developing the service, and targeting the offering

The controller does not disclose customers’ personal data to third parties for marketing purposes or for opinion and market research. The controller may send customers direct marketing electronically, including by email and text message.

Data content of the register

The following information is collected and stored about registered persons:

  • customer number, first name, last name, street address, postal code, city/town, country of address, phone number, and email address
  • customer satisfaction information, comments on the controller’s services, and other information received with the customer’s consent; online feedback form, online feedback, feedback received by email or post, and complaints; results of customer satisfaction surveys by email, post, or phone
  • booking information, such as information on previous and future bookings
  • information related to the use of services, such as service use, purchase, and cancellation information
  • the customer’s payment method and payment behaviour information, including information on payment delays, as well as invoicing information
  • information on prohibitions of direct mail, distance selling, and other direct marketing in accordance with legislation, such as removal from the newsletter mailing list
  • information on membership in the controller’s customer benefit schemes and those of companies that have cooperation agreements with the controller, as well as information necessary to receive the benefit
  • other information collected with the customer’s consent, such as information provided by the customer about mobility restrictions, disabilities, and illnesses that are necessary for providing the service requested by the customer

Personal data is not used for automated decision-making carried out by a system that would have legal or similar effects on customers or registered persons.

Regular sources of data

Information concerning customers is obtained, with the customer’s consent, from the customers themselves and from transactions related to bookings and purchases of the services they request, during the booking and purchasing process. Personal data may also be collected, stored, and updated from the registers of the Population Register Centre and other controllers providing address, updating, or similar services.

Credit information is checked from the service provider with the customer’s consent.
Information concerning customer satisfaction is collected through customer satisfaction surveys with the customer’s consent.

Regular disclosures of data and transfer of data outside the EU or the European Economic Area

Customers’ personal data is disclosed for direct marketing purposes and for opinion and market research to the extent permitted by the Personal Data Act, for example when consent or an assignment requires it. Data is not disclosed outside the EU or the European Economic Area.

Principles of register protection

Only Tiina Hämeenniemi has access rights to the register.
Written data in the register is kept in a locked space at Paistjärventie 93, Paaso. Passenger notification forms are destroyed one year after their date. Any person who processes the data is subject to the duty of confidentiality and penalty provisions under the Personal Data Act.

Public availability of the register

The privacy policy/register description concerning the customer register of Hämeenniemi Holiday Villas is available at all villa properties, at Paistjärventie 261, Paaso, and on the controller’s website at www.hameenniemi.fi

Data collection

Personal data is collected when a customer makes cottage bookings, as well as when personal data is collected from the registered person themselves, from customer surveys, prize draw and competition responses, customer data updates, invoicing, and payment monitoring.

Right of access and right to rectify incorrect data

Customer’s right to access their data

The customer has the right to check what information concerning them has been stored in the register.
The access request must be submitted to the controller. The right of access may be refused on grounds provided by law. Exercising the right of access is generally free of charge. In the access request, the customer must provide their name, contact details, and phone number.
The contact request must state precisely which service the access request concerns. The customer may also submit the access request in person at the controller’s premises.

Customer’s right to request rectification, deletion, or restriction of processing of data in the register

If there are errors in the customer’s data, the customer may submit a request to Tiina Hämeenniemi to correct the error. The controller will, on their own initiative or at the request of the registered person, rectify, delete, or complete personal data in the register that is incorrect, unnecessary, incomplete, or outdated in relation to the purpose of processing.
Where the customer is able to act themselves, they must, without undue delay after becoming aware of the error or after noticing the error themselves, on their own initiative rectify, delete, or complete any data in the register that is contrary to the purpose of the register, incorrect, unnecessary, incomplete, or outdated. A written correction request may be addressed to the controller.

Right to object
The customer has the right to prohibit the controller from processing data concerning them for direct mail, distance selling, and other direct marketing purposes. A registered customer may make the prohibition by notifying the owner of Hämeenniemi Holiday Villas in writing.

Customer’s right to lodge a complaint with a supervisory authority
The customer has the right to lodge a complaint with the competent supervisory authority if, in the customer’s opinion, the controller has not acted in accordance with the EU General Data Protection Regulation and Finnish national data protection legislation.
